Who holds it
Promo Partners Ltd is the controller. Our company number and registered office are in the footer of every page.

What arrives
- The contact form — your name, your email address and your message. The website stores none of it: the message is sent to our mailbox. If sending fails it is written to our error log instead, so that it is not lost, and that log is deleted after 15 days.
- Email you send us — your address and whatever the message carries.
- Server access logs — your IP address, the time, the address you asked for, what we answered, and the user agent string your browser sends.
- A rate-limit counter — a keyed hash of your IP address, never the address itself, so the form can count recent submissions from one connection.
Cookies
This site sets no cookies, loads no third-party script and runs no analytics. There is no consent banner because there is nothing to consent to.
Why we hold it
- To answer you. Our legitimate interest: you wrote to us and expect a reply.
- To keep the site working. Our legitimate interest: diagnosing faults and limiting abuse of the form.
- To meet company and tax law. A legal obligation, for anything that becomes a business record.
None of it is used for marketing, sold, or used to profile anyone.
How long we keep it
- General enquiries — 12 months.
- Anything that became a business record, such as a contract, an invoice or a complaint — 6 years. Company and tax law set that period, not us.
- Security reports sent to security@promopartners.co.uk — the life of the product and 1 year after it, so we can show when a problem was reported and when it was fixed.
- Access logs — 15 days.
- The rate-limit counter — 1 hour.
Who else sees it
Nobody. The website and the mailboxes run on one server we operate, at Amazon Web Services in London. We use no analytics, no content delivery network and no marketing tools.
It is stored in the United Kingdom and we transfer it nowhere else.
Your rights
You can ask what we hold about you, ask for it to be corrected or deleted, ask us to limit what we do with it, or object to our holding it at all. Write to the address above.
We answer within 1 month.
Complaints
Tell us first if you can, because it is usually quicker. You can also complain to the Information Commissioner's Office at ico.org.uk.
Changes
We update this notice when what we do changes. The date at the top is when it last changed.
